Import and export CSV

Bulk-load items, locations, contacts, movements, and stock tasks

Most lists and stock tasks accept a CSV file, so you can load a spreadsheet instead of typing. The easiest way to get the columns right is to export first, edit that file, then import it back.

Export first

Open a list such as Items, Locations, Contacts, or Movements, and choose Export. The download has the exact columns the import expects, including any filters you have applied on the list.

Item exports also include a photo_url column for a primary photo.

What you can import

SurfaceWhereKey columns
ItemsItems → Importsku, name, unit, plus optional pricing, replenishment, tags, codes, photo
LocationsLocations → Importcode, name, parent, type, address, status
ContactsContacts → Importcode, name, kind, contact details, status
MovementsMovements → Importtype, item_sku, quantity, locations, contact, notes
Stock tasksStock in/out/move/set → Importitem_sku, quantity, locations, contact, notes

Required columns

Items need sku, name, and unit. The unit is a code such as ea.

Locations need code and name.

Contacts need code and name.

Stock tasks need item_sku and quantity, plus the locations for that task. to_location_code is for in and set. from_location_code is for out and move. Move needs both.

Movements need type and its locations. issue and move need from_location_code. receive, move, and set need to_location_code.

Update versus create

For items, locations, and contacts, the required code column (sku or code) is the match key. If the code already exists, the row updates that record; if not, the row creates a new one.

Download a stock template

Each stock task page, such as Stock in or Stock out, has an Import option with a downloadable template for that task. The columns and an example row are ready to fill in.

Import a movement history

Use Movements → Import to load past stock changes. Rows with the same movement_key post as one document. created_at is an optional ISO timestamp, and rows are processed in file order. For work that is happening now, use the stock task screens instead so on-hand stays in sync.

Export reports

Saved reports export as a PDF or as a zip that contains the PDF and CSV files. Live lists such as movements and items also export directly, without creating a report. See Reports.

Plans

Item, location, movement, and stock-task imports and exports are available on every plan. Contacts imports follow the Business plan, and report exports need Business. On Free, open Settings → Billing to subscribe.
